Accessibility Guide

Use this guide to learn about accessibility practices.

  • Ensure that any invitations or advertising for your event is accessible to all invitees. Include a welcome message to let invitees know they can contact the planner regarding accommodations. You can also include an accommodations checklist in RSVPs so that any invitees can check any accommodations that they might need for the event. 
  • Provide information about accessible transportation options to people who asked or even regularly with invitations or advertising for events.
  • Pay attention to the venue where the event will take place. Make sure that there is enough space for people with mobility impairments or service animals, good audio for those who are hard of hearing, signage that is easy to see and read, electrical outlets for adaptive devices, etc. It is best to communicate these needs ahead of time. Also, disclose any possible issues with your attendees, such as flash photography, strobe lighting, fog, amplified sounds, etc.
  • During the event, designate someone to be responsible for accommodations as well as help with seating, ensuring that closed captioning or other technology is working, maintaining clear pathways, etc.
  • If there are going to be any presenters at the event, let them know of any accommodations that they need to keep in mind. Some examples of accommodations may be (but not limited to) describing the visuals verbally, providing printouts with larger text for those who are visually impaired, creating presentations with larger text/photos and colors that are easy for colorblind people to distinguish, closed captioning in videos, and encouraging hourly breaks.
